Import event dates

Event dates you can import via a CSV file. This is useful for importing a mass of simple event dates. Documents of the event dates, mail attachments and contingents for participants are not considered.

Please note that all fields are formatted as text field in Excel for keeping the correct sequence on date for example.


Comments on the example file (Mandatory fields are formatted bold):

seminarId = ID event 1491295901309_1

There are event IDs with and without “_1” as suffix accepted.

start = Starting time (date and time in XML format) 2017-04-13T09:30+02:00
end = End time (date and time in XML format) 2017-04-13T09:35+02:00

Note that starting and end time are different.

last_subscribe_date = closing date, date, 2017-04-11
last_unsubscribe_date = closing date of deregistration, date, 2017-04-12
learning_time = learning time HH:MM, 01:00

If the column “learning time” is empty, set it to “0”.

language = language of the event date: de, fr,it,en
min_participant = minimum number of participants, 5

The column “Minimum Number of participants” has the value “0”, if it is not set.

max_participant = maximum number of participants , 10

The column “Maximum number of participants” has the value “20”, if it is not set.

waitinglist = waiting list places, 2

The columns “Waiting list places” has the value “0”, if it is not set.

description = description of the event date
event_type = event date type, values: PRESENCE, VIRTUAL, ILINC, WEBEX
hotel_id = ID hotel
place = Location manually
room = Room manually
details = Address manually
place_id = Location ID

If a location ID is set, no location, room or details are imported. Note that the event date import accepts the UID format for location, this means IDs with or without “_1” are accepted.

place_room_id = Room ID

The column e “Room ID” is also optional, if the location ID is given.

place_start= Starting time room, date and time in XML, 2017-04-13T09:20+02:00
place_end = End time room, date and time in XML, 2017-04-13T17:20+02:00

If the columns “Starting time room” and “Ending time room” are empty, then set the start of the event date.

status = Status of the event date, values: PLANNING, INITIALIZED, ACTIVE

If the column “Status of the event date” is empty, then the status of the event date is “Active”.

auto_activate = Automatic Status change to ACTIVE, date and time, 2017-04-10T09:40+02:00

If the column “Automatic status change” is set, then activate the check box “Set status automatically”.

coordinator = user name of the coordinator

The coordinator has to be an author. Note the visibility of the importing author.

referent = user name of the speaker

The speaker has to be a user. Note the visibility of the importing author.

time_referent = hours of the speaker HH:MM, 01:00

If the column “Hours of the speaker” is not set, it has the value “0”.

start_referent = Starting time speaker, date and time in XML, 2017-04-13T09:20+02:00
end_referent = End time speaker, date and time in XML, 2017-04-13T09:20+02:00

If the columns “Starting time speaker” and “End time speaker” are empty, then set the start of the event date.

If the column “Price” is not set, it has the value “0”.

presence_list_coordinator = send the attendance list to the coordinator, values: true, false
presence_list_main_referent = send the attendance list to the main speaker, values: true, false
presence_list_co_referent = send the attendance list to the co-speaker, values: true, false

If the columns “Send attendance list to” are not set, they have the value “No”.

event_sub_type = sub type for pre-event or post-event task, set it always to “1”.
reg_confirmation_cc_superior = superior CC, values: true, false
reg_confirmation_cc_coordinator = coordinator CC, values: true, false
reg_confirmation_cc_owner = owner CC, values: true, false

If the columns “Registration confirmation CC send to” are not set, they have the value “No”.


To import event dates, choose Learning contentEvents Import. The dialog window Import wizard opens. Click the tile Import event dates.

Import settings

CSV file

Select a CSV file, which you want to import.


Date format

Select the date format you wish to assign to the CSV file being imported.

To change the standard date format, the administrator has to change the system setting “importwizard.default.dateformat“.


Character code

Define, if the CSV file contains the character code UTF-8 or ISO-8859-1.


Delimiter

Choose if the delimiter is a semicolon, a comma or a tab. CSV files with a semicolon as delimiter can be better processed.

Statistics on current import operation

This area shows you an overview of how many event dates are created newly and which couldn’t be imported.


Details on the event dates

In the table you see single event date, which were imported and which couldn’t be imported. The column “Note” gives information, why a data set couldn’t be imported, for example: “The value entered by you is not allowed.”
